PS Cash Payouts Documents

Payouts involve money that is being paid and will be deducted (removed) from the cash drawer. Just as with the Payments option in Point of Sale, one transaction handles several different types of payouts. One shared document is also used for the Payouts documents:

Petty Cash

Petty Cash transactions allow you to remove money from the drawer. Your company must define one or more ledger selections (usually expense accounts) if you plan on using this option for recording petty cash withdrawals financially (Postage, Mileage Reimbursement, Tolls, etc.). From here, choose "Payout Reason" from the drop down. Petty cash withdrawals don't involve customer accounts or jobs, so these parts of the document are left blank. The amount and description are included as well as a total.

Petty Cash payouts have a reference of "Misc Payout." To select just the "petty cash" payout documents, you can specify a reference ID under the Selection panel of %MISC% (the "%" is a wildcard character). To further limit the selection listing, you can also specify a dollar amount (if known).

Deposit Refund

The Deposit Refund payout allows you to refund some or all of a customer order deposit. The payout document includes information about the customer, order document, order totals/balances, and refund amount.

Deposit (customer order) payouts have a reference of "DEPREF" followed by the customer order document ID in parentheses. To select just the "order deposit" payout documents, you can specify a reference ID under the Selection panel of %DEPREF% (the "%" is a wildcard character). To further limit the selection listing, you can also specify a dollar amount (if known) or the order number in place of DEPREF in the reference ID (if the order's document ID is known).

Check Cashing

If used, the check cashing payout option allows you to accept a check and return cash. Both the check and cash are recorded for the drawer. Users are able to enter a name, account number, bank routing number, check number, and amount on the Payouts form. Only the name, check number, and amounts are printed on the document. Notice that the document (below) shows 2 payment methods: (1) the check being cashed which is added to the drawer and (2) the cash being removed from the drawer. Totals don't print because the "net" total on a check cash transaction should always be zero. No address or account information is printed on the document because customer accounts are not required or used with this type.

Check Cashing type payouts have a reference of "Check Cash." To select just the "check cashing" payout documents, specify a reference ID of %CHECK%. The percentage symbol (%) is a wildcard character. The documents included in the selection may be further limited by specifying an amount (if known).
