Remote Fax Setup

This topic applies to faxing where an on-line (Internet) service is being used to fax documents, and does not apply to transmission from a fax modem and fax software installed at your company. There are a number of web based fax services to choose from. Most receive outgoing faxes via Email and then fax the attached document to the intended recipient. As long as your selected fax service operates in this way, you should be able to use this feature.

Your company cannot fax both locally and remotely at the same time.

Step 1

Create an account on-line for whichever provider you decide to use. Your fax provider will assign an account ID, typically your Email address is used. This will be the address that failure notifications are sent to, for example (if your provider handles notifications). Typically, the provider uses your account Email to identify the faxes you submit, so this is important and necessary for later configuration in the software.

Step 2

From the Parameters form, located under the Maintenance area's Database menu, choose the System tab. Look for the Fax Server Setup section near the bottom:

Check the "WebFax Enabled" check box. "Faxing Enabled" should not be checked.

Enter the Email address to append to fax numbers in the text box labeled "WebFax Addr."

Enter the Email account used with your fax provider in the text area labeled "WebFax Acct."

If you want to send a cover page, check the "Send Cover Page" option to the left.*

Once these settings are complete, choose Process (F12) and close the form. Some parameters are only loaded upon Sign-on, so it's always a good idea to log-off and back on when making changes.

*This option creates and adds a cover page for the document before transmitting to your provider. You may also be able to define a cover page with your selected fax provider on-line to use instead of the software generated cover page. Our standard cover page includes your branch address, logo, and information about the sender and intended recipient.

Step 3

Web-based providers may have specific rules for how the phone number must be presented to them in the Email address. Typically, the recipient's fax number is appended with an email address they provide to you. Here's an example...

The service you select will likely have rules about the format of the phone number. Email addresses cannot contain spaces, so any spaces in your fax numbers would have to be removed. In addition, your provider may not allow special characters such as parenthesis, periods, or dashes that commonly appear in telephone numbers.

Another consideration is that you may or may not have long distance codes on your fax numbers. Fax numbers may need to have a 1 at the beginning and also the area code (even if the number is local to you, it is not necessarily local to your web provider).

Step 4

At this point, your company should be ready to send faxes through a remote web-cased service. Faxing from a transaction is done by using the Fax tab under Transmit on the Process (F12) form.
